Here's what my automated flow looks like: When someone books, they immediately get a welcome message that asks what brings them to town. This is strategic — it gives you context on the guest so you can personalize later, and it starts the relationship on a warm note. Two days before check-in, they get the full check-in package: address, door code, WiFi, parking, house manual link. Morning of check-in day, a quick "excited to host you, safe travels!" message. That evening around 8pm, a "hope you got settled in, everything OK?" check-in. For longer stays (4+ nights), a mid-stay message on day 3 with local recommendations. And morning of checkout, the checkout instructions plus a nudge toward leaving a review. The real magic is Hospitable's AI auto-responses for common questions. Guest asks for the WiFi password? Hospitable catches it and responds instantly with the password from your saved info. Early check-in request? It responds with whatever policy you've configured. Restaurant recommendations? Sends your saved list. All without you touching anything. What I do NOT automate: complaints, refund requests, anything that sounds emotional or unusual, and emergencies. Hospitable is actually pretty good at flagging these — it recognizes when a message needs human attention and pushes it to you. So instead of wading through 50 messages a day, I'm only looking at the 5-10 that actually need me. The ironic part is that my communication review scores went UP after automating. Turns out a perfectly-timed automated response 30 seconds after a guest messages is better than my manual response 45 minutes later when I finally check my phone. Guests don't care if it's automated — they care that they got an answer fast. If you're not ready for a paid PMS, you can automate 60-70% of messaging using **Airbnb's free Scheduled Messages** feature: Go to Listing → Settings → Scheduled Messages You can create messages triggered by: - Booking confirmation - Check-in - Checkout - Custom timing (X days before/after events) Limitations vs Hospitable: - Can't auto-respond to guest questions (only sends scheduled messages) - No AI understanding of guest intent - Single-platform (Airbnb only, not VRBO) - No unified inbox But it's FREE and handles the most impactful messages (check-in instructions, checkout reminders). I used this for my first year before upgrading to Hospitable. **The one message that saves the most time:** The pre-arrival check-in instructions. This single automated message prevents 80% of "where do I find the key?" / "what's the address?" / "how does check-in work?" questions. Set it up as your first automation, even if you don't automate anything else.
