BnbWise Review: Airbnb Bookkeeping & Cleaner Task Automation (2026)

1 min readReviewed by

Overview

BnbWise is a bookkeeping and task-automation tool for small Airbnb hosts, mainly in the US. In our hands-on test the money side was accurate to the cent: payouts split into gross, fee and tax; bank imports reconciled exactly with duplicates blocked; multi-month costs and mortgage interest handled correctly; every report opened and exported, and the P&L, year-over-year and expense reports matched the ledger.

  • Its WhatsApp task confirmations worked reliably, following bookings through date changes and cancellations. The trade-offs: it only works with Airbnb, earnings come in by monthly CSV upload rather than a live connection, bank feeds are US-only, SMS and two-factor login need a US or Canadian number, and there's no accountant or co-host login yet.
  • We found a bug in how withheld taxes were reported; BnbWise says it fixed it the day we raised it.

Verdict: BnbWise scores 3.6/5 (71/100) in our review — a solid option with real trade-offs. Biggest strength: Splits every Airbnb payout into gross earnings, service fee and tax — reconciled to the cent in our test. Main drawback: Airbnb only, and not a live connection: dates come from the calendar link.

How we tested BnbWise

Test period
19–22 October 2026
Plan tested
Full-feature demo account supplied by the vendor (3 properties)

We ran BnbWise on a vendor-supplied demo account with three sample properties, importing the vendor's sample bank statement and Airbnb earnings file plus our own labelled test transactions and bookings. We checked every payout, import and report total by hand against the source files, moved and cancelled test bookings to see what the automations did, and ran the WhatsApp and SMS task confirmations against our own phone. No real bank account or live Airbnb calendar was connected, so live sync timing wasn't tested. Before publishing we put the problems we found to BnbWise; its answers are included in this review.

  • Bank statement import: 13 of 13 rows, $3,396.75 — matched to the cent
  • Duplicate re-upload: All 13 duplicates blocked
  • Airbnb payout split: Gross, fee, tax and payout reconciled exactly
  • Booking date moved: 5 linked tasks rescheduled automatically
  • WhatsApp confirm / decline / reminder: All worked
  • SMS consent: Never arrived on our UK number — SMS is US/Canada only
  • Reports checked: 9 of 9 opened and exported; P&L totals matched the ledger

Pros & Cons

Highlights and considerations for BnbWise.

Pros
  • Splits every Airbnb payout into gross earnings, service fee and tax — reconciled to the cent in our test, without double-deducting tax Airbnb remits for you.
  • WhatsApp task confirmations: your cleaner replies 1 to confirm or 2 to decline, with automatic reminders and escalation if they don't.
  • Tasks follow the booking: moving a checkout rescheduled five linked tasks, and cancelling closed them.
  • Bank imports that reconcile: exact totals, duplicates blocked, refunds and internal transfers handled correctly.
  • Spreads annual bills across months, and its mortgage preview splits interest and principal correctly.
  • Nine accountant-ready reports, all exportable; the P&L matched the ledger to the cent.
Cons
  • Airbnb only, and not a live connection: dates come from the calendar link, money from a monthly CSV upload. Vrbo and Booking.com are 'coming soon'.
  • US-focused: bank feeds are US-only, SMS and two-factor login need a US or Canadian number, reports are built for US tax, and the privacy policy has no company address or UK/EU data rights.
  • No accountant or co-host logins yet (an accountant portal is promised by the end of 2026).
  • We found a bug in the 'Taxes withheld' report (service fees counted as taxes, Airbnb-remitted tax missing). BnbWise says it's fixed; we haven't re-tested.
  • Edge cases need checking: changed bank amounts import as new rows, chargebacks arrive uncategorised, and the 1099 tracker splits the same vendor by capitalisation.
  • Support is an AI help assistant and a contact form, with no published hours.

Hands-on Review Notes

Our verdict

BnbWise does two jobs most small hosts juggle in spreadsheets: keeping proper books for each property, and making sure the cleaner turns up. It does the first accurately and the second very well. At $14.99 per property per month it's priced for hosts with one to five listings who want accountant-ready numbers without learning QuickBooks.

It is not a PMS or channel manager. It only works with Airbnb, and only partly: your Airbnb calendar brings in dates (refreshed hourly, BnbWise confirmed), but guest names, payouts and fees come from an earnings file you download from Airbnb and upload each month. Vrbo, Booking.com and Furnished Finder are listed as coming soon.

What worked in our test

  • Payout breakdown. A sample booking split exactly: $4,327.13 gross, $129.81 Airbnb fee, $389.44 occupancy tax, $3,807.88 paid out. When we imported an Airbnb earnings file, tax that Airbnb remits on the host's behalf was correctly not deducted a second time.
  • Bank imports. A 13-row bank statement imported to the cent ($3,396.75). Re-uploading the same file was blocked as duplicates, a partly overlapping file only added the new rows, a supplier refund reduced expenses correctly, and a transfer between the host's own accounts was left out automatically.
  • Accrual-style bookkeeping. A $1,200 annual insurance bill was spread at $100 a month, and the mortgage tool's preview calculated the interest and principal split correctly month by month.
  • Tasks that follow the booking. Rules create tasks for every reservation. When we moved a checkout by a day, five tasks moved with it. Cancelling closed them, and a partial refund was recorded as a separate refund line.
  • WhatsApp confirmations. The contact gets a WhatsApp message; replying 1 confirms and closes the task, 2 declines and keeps it open. If nobody replies, BnbWise sends a reminder and then escalates. Date changes and cancellations trigger their own messages.
  • Reports. All nine reports (P&L, year-over-year, expense categories, taxes, reservation income, 1099-NEC tracker, occupancy vs price, break-even, task history) opened and exported, and the P&L, year-over-year and expense-category totals matched the ledger exactly.

What didn't

  • SMS is US and Canada only. Our UK number never received the SMS consent text. BnbWise confirmed SMS only works with US and Canadian numbers and has since made the app and website say so. WhatsApp works internationally and worked throughout our test.
  • A tax-reporting bug. In our test the “Taxes withheld” report counted Airbnb service fees as taxes, and tax Airbnb remits directly wasn't shown anywhere. BnbWise told us this was a bug and says that, from 23 October 2026, taxes withheld appear as a separate row in the calendar, income screen and reports. We haven't re-tested the fix, so check this report before handing it to your accountant.
  • Edge cases need a human. A bank row with a changed amount is added as a new transaction rather than replacing the old one; a chargeback came in uncategorised; the 1099 tracker lists “ROARING FORK CARETAKING” and “Roaring Fork Caretaking” as two vendors.
  • US focus. Bank connections (via Plaid, read-only) are US-only; other banks mean CSV uploads. Two-factor login exists but works by SMS, so only with US or Canadian numbers (BnbWise says WhatsApp and authenticator-app options are coming). The privacy policy names no company or address and doesn't mention UK/EU data rights.
  • One login per account. There's no accountant or co-host access yet, and BnbWise asks users not to share logins. It says an accountant portal is due by the end of 2026.
  • Polish. The occupancy-vs-price PDF clips at the right edge and the P&L PDF pushes its net-income line onto a second page.

Support

Customers get an in-app AI help assistant and a contact form, with no published support hours. The assistant answered most of our questions well but gave the wrong sync frequency. When we put the problems above to BnbWise before publishing, the founder answered all five within a day and shipped fixes for three of them.

Who it's for

US (and, for messaging, Canadian) hosts with one to five Airbnb listings who self-manage, pay a cleaner, and want clean books for their accountant. If you're on several platforms, outside the US, or already run a PMS with accounting built in, look at Baselane, REI Hub or your PMS first.

Trial Guide: What to Test

During your trial or demo, focus on team & scale and confirm daily workflows.

What to test in the trial
  1. Connect your PMS and bank accounts, then verify transactions import correctly
  2. Generate an owner statement and check it matches your manual records
  3. Test expense categorization and verify tax-relevant tagging
  4. Export data to your accountant’s preferred format (CSV, QBO, PDF)
